Front desk and reservations

For Mezbaan Sarai and Mezbaan Haveli. The receptionist’s day on one screen, so check-in takes seconds on a busy shift.

  • Room grid and reservations

Every room by date: stays, confirmed bookings, tentative holds that expire and out-of-order rooms.

  • Rooms, rates and availability

Room types, rate plans such as EP, CP and MAP, and live availability.

  • Check-in and checkout

From arrival to one checkout statement, with advances and payments on the folio.

  • Housekeeping status

Dirty, clean, inspected or out of order for every room, updated as staff work.

  • Night audit

Posts room charges and closes the day, so tomorrow starts clean.

  • Meal-plan entitlements

Tomorrow’s included breakfasts are counted for the kitchen from CP and MAP bookings.

  • Advance payment links

Send a payment link on WhatsApp to confirm a hold, paid into the hotel’s own payment account once the gateway is connected.

  • Direct booking engine

Guests book on the hotel’s own page or WhatsApp link, see live rates and pay an advance; the booking lands on the room grid.

  • Channel manager

Connect a channel-manager partner to bring OTA bookings onto the room grid. Staff can also enter OTA bookings by hand.

Guest CRM and consent

One record for each guest across rooms and dining, with each team seeing only its part and every consent kept on file.

  • One guest profile

A guest who stays and dines has one profile. The owner sees both units; hotel and restaurant staff see only their own.

  • Segments and VIP arrivals

New, repeat, VIP and inactive guests, with upcoming VIP and repeat arrivals for the team.

  • Enquiry pipeline

Stages, lost reasons and a follow-up owner for each enquiry, including weddings and groups.

  • Consent records

Consent is recorded with time, place and the wording shown. Marketing stays off without it.

  • Guest data requests

Access, correction and erasure requests start from the guest profile and are tracked to their deadlines.

  • ID documents

ID documents are stored encrypted, every view is logged, and they are deleted after the retention limit.

  • Feedback and complaints

A post-visit feedback link, an owner alert on every complaint, and a status kept open until it is resolved.

  • Phone capture with consent

Restaurants build their own customer list at the counter, with consent recorded for each number.

Restaurant: orders, KOT and kitchen display

For hotel restaurants and room service in Mezbaan Haveli, and for standalone restaurants in Mezbaan Rasoi.

  • Menu and floor plan

Live tables with free, occupied, bill printed and cleaning states, plus merged tables.

  • Captain ordering

Captains take orders at the table and send them to the kitchen.

  • Kitchen order tickets (KOT)

Orders print as kitchen tickets; a void after a ticket needs a manager PIN.

  • Room service

Room-service orders run as their own unit with their own figures.

  • Android captain and billing app

Captains and cashiers keep working on an Android device, including during an outage.

  • Kitchen display

Station screens route tickets by item, show each ticket’s source and highlight late tickets.

  • QR ordering

Guests order from a QR menu; an order reaches the kitchen only after a staff member accepts it.

  • Reservations and waitlist

Bookings, quoted and actual waits, no-show tracking and a table-ready WhatsApp message.

  • Delivery aggregators

Delivery orders arrive through an integration partner and are tracked as their own channel.

  • Basic inventory and recipes

Stock deducted through recipes, par-level alerts, wastage records and basic food cost.

Billing, payments and GST

Bills that are right the first time, and a counter that keeps going on a busy evening.

  • GST bills

GST bills with an optional, editable service charge and round-off.

  • Tax engine with effective dates

Rules per property, outlet and item, with effective dates so a rate change can be scheduled. Confirm them with your chartered accountant.

  • Separate GST invoice per unit

The hotel and each restaurant issue their own GST invoice, even when the guest gets one statement.

  • Payments

UPI, card, cash, split or room charge. Until the payment gateway is connected, staff record UPI references by hand.

  • Shift close with cash variance

Expected and counted cash are compared, and any difference is noted with a reason, so every shift closes cleanly.

  • Offline billing with sync

Bills and kitchen tickets keep printing on the local printer when the connection drops; the invoice series stays unbroken.

  • Automatic UPI confirmation

A dynamic UPI QR closes the bill when the payment lands, so nobody has to check payments by hand. Works once the payment gateway is connected.

  • Digital bills

The bill on WhatsApp or email after checkout.

Folio and room charges

Where a hotel and its restaurant meet. This is the heart of Mezbaan Haveli.

  • Verified room charge

Room number, surname or last four phone digits, an active stay, an open folio and the credit limit are checked before a bill posts to a room. An optional WhatsApp code lets the guest confirm.

  • Typed folio lines

Each line is a hotel charge, a transfer from the restaurant or a payment, so nothing is mistaken for revenue.

  • One checkout statement

The guest gets one statement listing the hotel invoice and each restaurant invoice separately.

  • Advances and payments on the folio

Advances taken by payment link or at the desk sit on the folio and are deducted at checkout.

Revenue, expenses and reports

A clear money picture for the owner and the accountant: what was earned, what was collected, and what is still missing.

  • Revenue counted once

Restaurant revenue stays in the restaurant; the folio carries only a transfer. Checkout payments never add new revenue.

  • Room-charge reconciliation

Bills charged to rooms are matched against folios: cleared at checkout, open on in-house folios, or returned as unpaid.

  • Three dashboards

CRM & customers, Sales & operations and Finance & profit, for today, this month and the last 12 months.

  • Estimated labels

Every financial figure says Estimated until the month is closed. Closing the month turns it into a final figure.

  • Completeness notes

A figure tells you what is missing, for example “salaries not yet recorded for April, so this estimate is high”.

  • Number explainer

Any dashboard figure shows its formula, inputs and gaps. Fixed metric definitions, no AI.

  • Expenses and estimated P&L

Record expenses and see an estimated profit and loss, with Excel exports.

  • Nightly owner summary

The day’s rooms, sales and collections every night, from the same definitions as the dashboards; on WhatsApp once the provider is connected.

Finance: budgets, close and inventory

For the owner and the accountant: plan the month, close it, and see what each unit and each dish really earns.

  • Budgets and alerts

Set budgets and get an alert when actual figures move away from them.

  • Month close

Close a period so its figures move from Estimated to final.

  • Per-unit P&L with shared-cost allocation

Profit and loss for rooms, each restaurant and room service, with shared costs allocated across the units.

  • Tally and Zoho Books exports

Exports for Tally and Zoho Books, plus a GST sales register.

  • Item profitability

Drill into any dashboard and see which dishes and units really make money.

  • Smart alerts

Alerts when voids, discounts or cash differences are higher than usual, so they can be looked at early.

  • Full inventory

Suppliers, purchase orders, goods receipts, stock counts with variance and store transfers.

Marketing and loyalty

Bring guests back, with consent kept on file and the same rules for every guest.

  • WhatsApp campaigns

Birthday, win-back and segment campaigns, only to guests who have given consent. Every message carries an opt-out link, and messages go out only between 9 am and 9 pm.

  • Loyalty across stay and dine

Guests earn points on rooms and dining in one account, with Member, Silver and Gold tiers.

  • Review invitations

Every guest gets the same review invitation after their visit. There is no review gating: happy and unhappy guests are asked the same way.

WhatsApp campaigns start sending once the WhatsApp provider is connected.

Staff roles and permissions

Each person sees and changes only what their job needs, at the locations where they work.

  • Thirteen role templates

From business owner, general manager and accountant to receptionist, captain, cashier, kitchen staff and housekeeping.

  • Custom roles

Copy a template into a custom role and adjust what it may see or change.

  • Scoped to locations

Permissions apply to the units each person works in: rooms, a restaurant outlet or room service.

  • Manager PIN approvals

Large discounts, voids after a kitchen ticket, refunds and rate overrides need a manager PIN. Owners set the limits.

  • Shared devices

Staff switch users on a shared billing device with a personal PIN.

  • Leavers

Deactivating a user ends their sessions on every device at once.

  • Masked contact details

Without contact permission, staff see only the last four digits of a phone number.

Security and tenant isolation

Every business is its own isolated tenant. Security is built into the foundations.

  • Tenant isolation

The tenant comes from the signed-in session, never from anything the browser sends. Cross-tenant tests run in every build and must fail to read another tenant.

  • Sign-in with MFA

Multi-factor sign-in for owners, managers, accountants and all platform staff, with lockout, new-device alerts and session expiry.

  • Permanent activity log

Who did what and when, in a log that cannot be edited, so every action is on record for owners and staff alike.

  • Backups

Daily backups with point-in-time recovery and regular restore drills.

  • Monitoring

Uptime, backups, restore drills and background jobs are watched by the Vertex Summit platform team.

Admin and support access

How Vertex Summit runs the platform and helps you, without ever reading guest data silently.

  • Main Admin Panel

The Vertex Summit team manages tenants, properties, plans and feature flags.

  • Subscription invoices

Subscriptions are invoiced by Vertex Summit.

  • Owner-approved support access

Support can open your workspace only with your approval, for a limited scope and time. Every screen viewed is logged, and support cannot export your data.

  • Support tickets with response targets

Tickets carry response targets, such as 15 minutes when billing is down.

  • Onboarding with the setup assistant

A guided onboarding aiming at going live within 48 hours, with a menu or rate card read into drafts that people confirm.

WhatsApp messages

Transactional messages go from the business’s own WhatsApp number, so guests see the hotel’s or restaurant’s name. Messages start once the WhatsApp provider integration is connected.

  • Booking confirmations and pre-arrival notes

Confirmations and check-in instructions the day before arrival.

  • Payment links

Advance payment links for holds and bookings, paid through the business’s own payment account.

  • Bills on WhatsApp

The guest’s bill after checkout, from the business’s own number.

  • Nightly owner summary

The day’s rooms, sales and collections on the owner’s WhatsApp every night. Built from fixed definitions, no AI.

  • Table-ready message

Restaurants tell a waiting party their table is ready.

  • Automated follow-ups

Automated enquiry follow-ups, only to guests who have given consent.

WhatsApp template messages are charged per message by Meta. Ask us how messaging is billed for your plan.

AI: Munshi and guest concierge

Help that works from your own business data. Nothing goes live from an assistant until a person confirms it.

  • Munshi, your business assistant

Ask about your business in plain language, in English, Hindi or a mix of both, for example “What are today’s sales so far?” Answers come from the same figures as your dashboards and follow each person’s role permissions.

  • Guest concierge

Answers guests’ questions from your hotel’s own FAQ, and passes guest requests straight to your staff.

  • Number explainer

Shows how any figure was worked out. It uses fixed definitions and no AI.

  • Setup assistant

Reads a photo of a menu or rate card into draft items that staff check and confirm before anything goes live.

Munshi answers from the same metric definitions as the dashboards, so Munshi and the dashboards give the same number. A manager asking the same question as the owner sees only what their role allows.
